EARLY ARRIVAL

Goal: Early Arrival housing is meant to meet the housing needs of HWS students who are required to be on campus prior to the scheduled opening of on-campus housing at the start of the semester.

Eligibility:

  • Only available to HWS students who are required to be on campus for:
    • In-Season athletics
    • On-campus employment
    • HWS-related leadership role
    • Pre-semester academic needs
    • Qualifying Summer Housing transition students
  • All above reasons will require HWS faculty/staff verification. All extenuating circumstances will require case-by-case review and additional follow-up from Housing and Residence Life staff.
  • Must have an on-campus housing assignment for the semester. Students on a leave of absence for the semester are not permitted to request Early Arrival status.
  • Must have HWS-related commitments. Geneva area commitments are not approved for Early Arrival status.
  • Not approved for students wanting to arrive early due to less expensive travel, nor to have extra time on campus prior to classes.
  • Approved arrival will be scheduled 1 day prior to start of HWS commitment.
  • HWS will set dates permitted for Early Arrival status each semester, which will not exceed one week prior to the start of classes. Exceptions will only be made for those listed and verified in the first bullet.
  • Students traveling internationally to get to campus may apply to arrive up to 3 calendar days prior to the scheduled opening of residence halls in order to accommodate travel arrangements. An application must be completed in order to be considered and proof of international travel will be required. If a student is already approved for Early Arrival status based on programs listed in the first bullet, they will not be approved to arrive sooner than the identified date.
  • SPRING SEMESTER: Students returning to on-campus housing from a Fall semester leave (LOA, study abroad status, etc.) cannot request to return to campus to move-in more than 48 hours before the start of classes.

Rules/Regulations:

  • All students requesting Early Arrival status must complete the Early Arrival Request form on myHousing by designated date. 
  • Approval of status is finalized once the student has received formal email communication from HWS’ Housing and Residence Life representative.
  • Any student who arrives earlier than their approved date will be charged a $75 per night charge.
  • Any violations of the Community Standards during Early Arrival status may result in disciplinary action and student’s Early Arrival permissions being revoked, resulting in their immediate removal from campus.

EXTENDED STAY

Goal: Extended Stay housing is meant to meet the housing needs of HWS students who are required to be on campus after the closing of on-campus housing at the end of each semester.

Eligibility:

  • Only available to HWS students who are required to be on campus for:
    • In-season athletics
    • On-campus employment
    • HWS-related leadership role
    • Post-semester academic needs
    • Qualifying Summer or Winter Break transition students
  • All above reasons will require HWS faculty/staff verification. All extenuating circumstances will require case-by-case review and additional follow-up from Housing and Residence Life staff.
  • Only available to current students who have a housing assignment for the semester.
  • Must have HWS-related commitments. Geneva area commitments are not approved for Extended Stay status.
  • Not available to students who want to stay on campus in order to delay travel with the purple of less expensive travel, or to have extra time after finals in order to pack.
  • Not available for students who want to stay on campus to attend Commencement.
  • Exceptions may be made in the event that a student must complete coursework beyond the closing date for which their physical presence is required on campus. Housing and Residence Life staff must reach out to faculty members to verify this need(s).

  • Any student who remains in on-campus housing beyond their approved date will be charged a $75 per night charge.

  • All students approved for Extended Stay status must complete all closing procedures and properly check-out by their approved departure date.

WINTER BREAK HOUSING

Winter Break housing exists to meet the housing needs of HWS students who have no other options for housing during that time. Winter Break housing is extraordinarily limited and only available to students with the highest financial need, no alternative options, or pre-approved due to HWS-related need. An application will be made available during the Fall semester and Housing and Residence Life staff will review and determine eligibility of each application on a case-by-case basis.

Winter Break housing locations may change each year depending on HWS’ need(s) and availability.

Winter Break housing is only available to HWS students who are housed on campus for the Fall semester preceding Winter Break AND the Spring semester following Winter Break. HWS will accommodate students with extreme and extenuating circumstances.

SUMMER STORAGE

The Colleges cannot provide an on-campus option for students looking to hold things in storage over the summer. We recommend reviewing the information for Dorm Room Movers. The company will pick up your items, store them safely all summer, and return them to campus upon your return in August! *Fees charged directly to student.
